Symposium Retreats: Terms of Service, Participation Agreement, and Liability Waiver

Welcome to Symposium. By registering for our retreat, you agree to the following terms and conditions. This document outlines your responsibilities as a participant, our policies around payment, cancellation, and safety, and how we protect your rights and privacy. Please read this carefully. Your registration indicates your acceptance of these terms.


1. Retreat Participation Agreement

By registering, you understand and agree that:

  • You are participating voluntarily in all aspects of the retreat, including physical, emotional, and spiritual activities.

  • You are solely responsible for your own well-being, choices, and belongings.

  • You agree to maintain respectful conduct and honor the shared space. This includes honoring quiet hours, being mindful of others’ privacy, and upholding the spirit of the retreat as a sacred, communal, and intentional space.

  • No food, trash, or personal waste may be left in cabins. Out of respect for allergies and animals, food must be stored in designated locations only.

  • Screens and phones must be dimmed/muted in shared rooms. Morning and evening quiet hours are honored.

  • You agree to maintain cleanliness of your personal area, make your bed daily, and take care of wet or soiled items properly.

  • We reserve the right to ask any participant to leave the retreat (without refund) if they are found to be disruptive, disrespectful, or in violation of these policies.


2. Room Selection & Companion Travelers

  • All beds are booked on a first-come, first-served basis.

  • Once a bed is selected and paid for, it is removed from the site.

  • Shared rooms may be booked for two companion travelers for an additional fee. One guest must complete the booking and list both names on the checkout form. How payment is split between them is their responsibility.

  • Symposium is a co-ed experience. While private rooms are available for solo guests or companion travelers, most shared cabins include a mix of genders. If you have specific privacy or comfort needs regarding cabin assignments, please note them in your application and during checkout under “Cabin Preference.”

  • Final bed and cabin assignments will be made by the Symposium team with care and respect for guest preferences, safety, and group dynamics. However, specific roommate requests are not guaranteed.


3. Payment, Refunds, and Cancellations

  • All retreat payments are non-refundable.

  • In the event of an emergency (medical, family, or critical issue), refund requests may be submitted for review and are assessed on a case-by-case basis.

  • If you opt for a payment plan, you agree to complete all scheduled payments. Failure to do so may result in the loss of your reserved space.


4. Health & Safety Waiver

By attending Symposium, you acknowledge:

  • You are in adequate physical and emotional health to participate.

  • You understand that Symposium includes outdoor activities, ritual, movement, and optional wellness offerings.

  • You release Symposium Retreats, its facilitators, collaborators, and hosts from liability for any injury, illness, or loss incurred during the retreat.

  • You agree to disclose any allergies, accessibility needs, or health concerns in your application so we can best support you.


5. Privacy Policy & Data Use

We respect your privacy. Please see our full Privacy Policy [linked here] for information on how your data is collected, stored, and used.


6. Photography & Media Release

  • Photographs or video may be taken throughout the retreat.

  • By attending, you grant Symposium permission to use images of you in marketing materials unless you opt out by notifying us in writing at [email protected].


7. What to Expect Logistically

  • Rooms are rustic and simple, with storage for belongings and hanging racks for clothing.

  • Weather ranges from 50°F–70°F. Please bring layers, outdoor shoes, and comfortable attire for movement, ritual, and rest.

  • This is not a luxury resort. This is a curated experience focused on presence, depth, and intentionality. Overpacking or bringing items for vanity or display is discouraged.


8. Co-Ed Environment & Consent Culture

Symposium is a mixed-gender, communal environment. Shared rooms and cabins may include guests of all gender identities unless otherwise specified. We ask all guests to respect one another’s privacy, autonomy, and comfort at all times.

By registering, you agree to:

  • Uphold a culture of consent and respect in all interactions.

  • Honor physical, emotional, and spatial boundaries.

  • Refrain from any behavior that could be interpreted as invasive, flirtatious, or inappropriate within shared sleeping spaces.

Any concerns around safety or rooming will be addressed with utmost seriousness. The team reserves the right to adjust sleeping arrangements or remove any guest who violates these principles.

Queen Bed - Pay In Full

 

Step into your story.

Reserve a queen bed for Symposium, offering spacious comfort within one of our shared cabins, where warmth, connection, and quiet community weave together under the redwoods.

What you’ll receive:

  • A queen bed in a shared room (solo booking; may be paired with another guest if selected as a shared bed)

  • Placement in one of our communal cabins, chosen by the team based on preferences and group dynamics

  • Proximity to restrooms, main gathering paths, and forest-lined ease

  • Five nights of lodging at Spirit Camp in the Northern California redwoods

  • All nourishing meals, snacks, and herbal offerings

  • Daily workshops, storytelling sessions, and immersive rituals

  • Group shuttle transportation from SFO

  • A curated welcome gift

  • Event insurance and full guest support throughout your journey

Please note:

  • This is a booking for one queen bed. Please indicate your sharing preference in the checkout box. If you'd like to share with a companion, purchase a shared cabin booking option instead.

  • Final cabin and bed assignments will be made by the team, taking into account your preferences and the composition of the final group.

  • Be sure to list any cabin preferences or accessibility notes  in the designated field during checkout.

All payments are non-refundable. If an emergency arises, refund requests will be reviewed on a case-by-case basis.
